ASSISTANT BOOKKEEPER
Performs specialized clerical and bookkeeping tasks in the recording and maintenance of precise fiscal records and financial data; applies fundamental bookkeeping knowledge and skills to varied bookkeeping tasks such as posting, checking entries, issuing checks, balancing accounts, and preparing financial reports for assigned accounts; prepares and maintains financial records in an accurate, complete, and timely manner ensuring the integrity, security and accountability of the financial records in accordance with established Salvation Army policies, procedures, and state and federal laws.

Reviews, checks, and verifies store and auction reports for accuracy and completion; ensures that the deposit matches totals on store reports; checks all bank card deposits, cash deposits, “Z" counts, voids, and similar activities to ensure that all store reports are verified and in compliance with standard operating procedures.
Processes daily sales information through the appropriate software including integration of information into Great Plains Accounting.
Ensures timely submission of daily sales report to Director of Finance and other management personnel upon request.
Oversees the cash register policies and procedures and ensures that they are up to date at all times as well as distributed to the store personnel and managers in a timely manner.
Reconciles furniture tickets to the furniture logs.
Works with personnel to resolve mistakes or problems found in reports.
Troubleshoot problems with the cash register system.
Attend weekly store managers meeting. Be prepared to bring up points of concerns to the managers at this time.

Train store managers and store personnel of proper policy and procedures.
Assist the Director of Finance with the following functions as needed …
Assist with the processing of the following financial documents: invoices, billings, purchase orders, requisitions, vouchers, checks, check request, tax reports, payments and/or deposits, reviews and verifies the same for accuracy and completeness.
Assist with receiving, recording and verifying cash receipts and deposits; prepares daily tabulations and reports of cash receipts; distributes receipts to proper funds; makes daily entries into cash receipts ledger.
Assist in preparing and reviewing various financial and statistical reports and spreadsheets for accuracy and completeness.
Assist with applying accurate code numbers to financial documents and batches totals; keypunches information into the computer to generate checks, invoices, reports, spreadsheets, and financial documents.
Assists in researching and reconciling accounts to ensure financial documents, correspondence, invoices, payments, spreadsheets, and other documents are accurate; resolves accounting problems with outside personal contacts.
Assist in preparing correspondence regarding the status of accounts and responds to account inquiries; ensures all correspondence is prepared in a professional and tactful manner.
Assist in maintaining accurate and complete files of accounts, statistics, billings, invoices, minute book, and donor/client files; develops and maintains departmental files; prepares a spreadsheet for recording expenditures and approvals.
Assist in preparing requisitions for property repairs and furnishings; completes paperwork for property insurance and accident reports; maintains accurate and up-to-date records, tags, and titles for all center vehicles.
Assists in processing food stamps that have to be paid to vendors; prepares and verifies the number of food stamps needed for the invoices.
Assist in compiling data and generates departmental reports and inventory records; monitors incoming reports to ensure accuracy and completeness before processing the same.
Assists in maintaining the petty cash.
Assist with collecting, counting, recording and depositing vending machine revenues.
Assists in performing audit checks of cash registers in stores; ensures that the cash in the register balances with daily sales tapes.
Maintain a positive work atmosphere by acting and communicating in a manner so that you get along with customers, clients, co-workers and management.
OTHER RESPONSIBILITIES:
Assists the department head in performing special projects as needed.

Cross-trained with other employees in the department to cover their responsibilities when they should be out of the office.

EDUCATION AND EXPERIENCE:
Some college, and two to five years of progressively responsible experience in a general office environment with accounting and/or bookkeeping responsibilities or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of the practices and procedures of basic accounting and/or bookkeeping.
Knowledge of basic double-entry bookkeeping principles and practices of applications to accounting transactions.
Knowledge of general office practices and procedures.
Knowledge of computer spreadsheet software and word processing software.
Knowledge, skills and ability to successfully communicate, both verbally and in writing, in the English language.
Ability to read and comprehend manuals and written instructions.
Ability to maintain the confidential nature of related information.
Ability to alphabetize, organize, and maintain various files.
Ability to process financial and other documents in compliance with established policies and procedures.

Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.
Limited physical effort required associated with sitting, walking, standing, lifting, bending, reaching, twisting, pushing, pulling, typing, 75% to 100% of the work time, and carrying light objects (usually less than 25 lbs.) 5-15% of work time.
WORKING CONDITIONS:
Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
