JOB SUMMARY

Responsible for KIDS WEST accounting as follows: process daily intake of payments and payment forms, prepare daily bank deposit for KIDS WET, sort and maintain current file of payment forms, enter participants; accounting data on computer, post group records on computer, print weekly summary reports for KIDS WEST Program Assistant, print and mail statements of delinquent accounts weekly or as needed, print and mail monthly statements of all accounts, provide account status and budget information for KIDS WEST Program Supervisor on a regular basis, evaluate current software to determine greater efficiency and better use of program.


ESSENTIAL JOB FUNCTIONS

1. Process weekly intake of payment forms.

2. Prepare weekly bank deposit of payments received.

3. Enter information on individual accounts on computer accounting program: payments, registration fees, deposit fees, weekly charges, late fees, discounts, adjustments and miscellaneous entries.

4. Sort and file payment forms.

5. Enter outstanding charges on accounts based on attendance.

6. Monitor on-line payments.

7. Provide account status and budget information for KIDS WEST Program Supervisor on a regular basis.

8. Assist Program Assistant in providing accurate weekly attendance schedules as needed.

9. Send email statements on delinquent accounts. Mail statements to families with no email, as needed.

10. Follow up with families who are delinquent. Including arranging payment plans or terminating services.

11. Monitor KRONOS timecard information for Kids West site staff and print bi-weekly report for Program Supervisor.

12. Substitute at a KIDS WEST site in an emergency.

13. Assist other Community Education department members during high pressure times.

14. Other duties as assigned.

A. Skills, Knowledge and Abilities

1. Working with numbers accurately and efficiently.

2. Ability to operate office machines accurately and efficiently.

a. Calculator, accuracy essential.

b. Computer, accuracy essential.

c. Copy machine.

d. Fax machine.

3. Ability to think logically and follow through with details persistently, conscientiously and accurately.

4. Maintain filing system.

5. Ability to work without close supervision and budget time to complete responsibilities as scheduled.

6. Process quantities of filing.

7. Maintain confidentiality.

8. Ability to work under pressure, perceive priorities and meet deadlines.

9. Ability to work in office with multiple staff and numerous interruptions.

10. Ability to become knowledgeable about district policies and procedures related to this position.

11. Ability to become knowledgeable about the KIDS WEST program and procedures related to this position.

12. Knowledge of general accounting department procedures, office conduct and telephone techniques.

13. Effective oral and written communication skills.

14. Excellent customer service skills combined with assertiveness.

15. Ability to work in a team atmosphere with common goals.

B. Education

1. High school graduate or equivalent required.

2. Accounting or business courses preferred.

3. College background desired but not required; emphasis on accounting or business.

C. Certification

Bondable.

D. Experience

Two years of successful clerical/accounting work experience desired.


PHYSICAL REQUIREMENTS

1. Good eyesight to sustain high volume figure work.

2. Adequate mobility as required to work with other offices.

3. Good health to minimize absenteeism.

4. Fitness attested to by Board Policy and Iowa law every three years.


WORKING CONDITIONS

1. Office in Community Education, Learning Resource Center.

2. Overtime may be required during annual KIDS WEST enrollment sessions.

6.5hr/day. Position available 2/13/12. Close date, 2/2/12
